Job Summary:
The Department of Finance and Administration is currently seeking experienced candidates for an Administrative Services Assistant 3 who will report to the Agency Chief Information Officer (CIO) supporting the Tennessee Department of Health (TDH). This is an Executive Service position and is located in downtown Nashville.
This position will provide administrative support to the Agency CIO in directing and establishing the IT operational vision for the TDH, which is one of the largest departments in Tennessee State Government. The TDH IT team has more than 105 employees statewide with roles in IT planning, programs, and operations.
Responsibilities include, but are not limited to the following:
  • Provide high-level administrative support
  • Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, or presentation software
  • Answer phone calls and direct calls to appropriate parties or take messages
  • Attend meetings to record minutes as needed
  • Greet visitors and determine whether they should be given access to CIO or follow up is required
  • Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution to the appropriate party
  • Perform general office duties, such as ordering supplies and maintaining records management database systems
  • Make travel arrangements as needed
  • Actively learn expectations and tendencies of CIO and stay connected with the business
  • Own schedule and manage availability of CIO ensuring sufficient time is allocated to get to upcoming meetings, events, etc.
Minimum Qualifications:
Bachelor’s degree and three years of increasingly responsible full-time professional staff administrative experience. Relevant professional experience may be substituted for the required degree.
