Office and Location: The State Water Resources Control Board’s Division of Financial Assistance has an opening for a Seasonal Clerk in the Loans & Grants Branch. The position location is 1001 I Street, 16th Floor, Sacramento, CA 95814, right in the heart of downtown next to light rail stations and other public transportation.

Duties: Assist staff in preparing and creating new physical and electronic file procurement, and file management. Maintain file room structure, refiling, perform file archiving preparation, maintain archive transfer lists, and coordinate archive file pick up with the Admin Unit. Maintain the file structure of open disbursement loan and grant files. Perform file procurement and refiling associated with audits, public records act requests and/or underwriter reviews.
 
Daily mail distribution to/from the 17th floor receiving area, Division of Administrative Services and Office of Chief Counsel (OCC). Opening, date stamping, logging, picking up and distribution of mail and other documents to various locations within the Division. Locating & verifying items of mail/documents were received.
 
Assist staff in performing basic data entry regarding incoming and/or processed invoices utilizing the Loans and Grants Tracking System and/or Excel. Monitor and route emails from the shared Disbursement Units email accounts.

Assist with various clerical activities associated with the Disbursement and Contracts Units including, but not limited to: monitoring and routing documents amongst various parties from the contracts table, performing basic updates to databases and spreadsheets, preparing letters and correspondence mailings, obtaining and verifying signatures, and scanning documents as needed. Perform periodic accessibility assessments of website links, posted documents, and reporting notable issues.
